Inventory

Open Inventory (on phones the tab is Stock). Everything is per company.

Set policy on Account:

Mode What technicians do Stock counts
Off No part logging, no van tab Office can still run inventory
Job parts Scan or pick parts onto the job Does not deduct warehouse/van
Stock (default) Consume from the van (senior tech/owner can fall back to warehouse) Counts move with each consume/receive/transfer

Parts required: when this is on and mode is not Off, a tech cannot mark a job Completed until they log at least one part or confirm no parts were used. Owners skip that gate.

From Inventory owners typically:

  • Maintain items (SKU, name, category)
  • Receive stock into a warehouse
  • Transfer warehouse ↔ van or van ↔ van
  • Adjust physical counts (counts can go negative so the shelf is the source of truth)
  • Watch Alerts when a count caused a negative or a field sync conflict

Every quantity lives on a location: a warehouse bin or a vehicle. There is no “unlocated” pile.

Role Consume from
Technician Their assigned vehicle only
Senior technician Van first, then warehouse if the van is short
Owner / admin Any location

Technicians cannot drive van quantity below zero; the office can when they need to.

Parts on a job can be copied onto a draft invoice. Do that before you mark the invoice sent.

Van picks made without signal sit in a queue and apply when the device is online. Failed movements show for the office to reconcile (often via Alerts) instead of retrying forever. See Offline & PWA and field parts.
